Program Description:

The Aspen Institute's Office of Institutional Advancement (OIA) is a central division focused on Institute-wide donor and prospect engagement. Areas of practice include principal and major gift fundraising, corporate and foundation relations, annual giving and membership programming through the Institute's Society of Fellows, planned giving, trustee engagement, major events, stewardship, research, and gift accounting.

Basic Function:

The Philanthropic Operations Assistant will work with internal stakeholders to ensure efficient, timely, and accurate gift processing, database information and report production. This position helps ensure the overall integrity and quality of the donor database. The individual in this position serves an integral role within the Office of Institutional Advancement and is at the center of donor services within OIA.

This position reports directly to the Manager, Corporate and Foundation Relations and Philanthropic Operations. The salary range for this position is $50,000 - $55,000. In accordance with the Aspen Institute's Reimagining Work policy, the Philanthropic Operations Assistant should be willing to be in-person with colleagues in the Washington, DC office a minimum of 40% of the time while having the flexibility to work remotely for the balance.

Essential Duties and Responsibilities:

Gift Processing

  • Serves as a liaison to financial staff, development staff, and other Aspen Institute staff on gift processing.
  • Prepares weekly gift entry reports to check the accuracy of gift data and coordinate regular reconciliations with accounting data.
  • Performs data entry and maintenance for gifts, pledges, proposals, constituent demographic, affinity, and other constituent information.

Data & Reporting

  • Prepare standard and ad hoc reports using combination of Salesforce and Excel.
  • Assist in the preparation of campaign/appeal analyses and donor recognition materials.
  • Perform data entry and updates of constituent records in the database as needed.

Other Duties

  • Provides general support of events and activities as part of the OIA team as needed.
  • Assists with other Institutional Advancement tasks, including prospect research.


Knowledge, Education and Experience:

  • 1 - 2 years' experience in an office setting, preferably a nonprofit.
  • Exposure to or coursework in accounting.
  • Demonstrable skill in Excel.
  • Ability to work independently and take initiative.
  • Excellent oral communication, interpersonal, and writing skills.
  • Ability to handle multiple tasks and complex projects simultaneously.
  • Desire and willingness to learn.
  • Understanding of privacy standards and ability to maintain confidentiality of constituent information.
