We are looking for an Assistant Facilities Manager to join Element Fleet Management. As the largest pure-play fleet manager in the world, we provide unmatched products and services and solutions to our clients.

As the Assistant Facilities Manager, you will provide outstanding client service by site management, monitoring, and control of a commercial building or portfolio of buildings, with a focus on building operations, service contracts and financial management. Essential functions of this role include proactively developing and manage relationships ensuring expected service levels are achieved.

A Day in the Life

  • Manage day to day operations and maintaining best in class working environment

  • Manage the site in accordance with all agreed policies, procedures, and scope of the property(s).

  • Identify opportunities for improved operation to drive efficiencies (process and cost).

  • Assist with site responsibilities for mechanical, electrical, plumbing, carpentry, critical systems, HVAC, generator and other defined within the portfolio.

  • Support the implementation of innovative programs and processes that reduce short, and long-term operating costs and increase productivity.

  • Ensure compliance with all Health and Safety, Environmental and Risk Management policies and procedures.

  • Manage repairs, maintenance, minor works, and other requests received, and tracking to completion.

  • Space management and administrator role for space management software, reporting and churn activity.

  • Assist in managing vendors, ensuring services are delivered in accordance and the contract and to agreed standards.

  • Document and escalate instances of poor performance.

  • Coordinate internally with other teams which may include fitness, food services, transportation, security, and capital projects

  • Support management in the implementation of short, and long-term projects.

  • Support management through the vendor contract procurement process.

  • Maintain and update Standard Operating Procedures (SOPs) and emergency response documentation for the site as required.

  • Update and maintain accurate records and official documentation of the site.

  • Any other activities to support site operations, including but not limited to moves, reconfigurations, events, safety, reception, and mail services.

  • Assist management to achieve or exceed financial targets and ensure effective, efficient, and economic operations of assigned responsibilities.

  • Other tasks and duties as assigned

Requirements

  • Associate or bachelor's degree in Facilities, Property, Business, or related field.

  • Desirable: minimum 2 years of supervisory experience in facilities management or related field.

  • Proficiency in a range of information technology tools and platforms.

  • Strong analytical, organizational and presentation skills

  • Strong oral and written communication skills

  • Thrives in a fast pace corporate environment

  • Strong sense of responsibility and dedication to work independently
