Job Overview

This position, Executive Assistant, will report directly to the Vice President of Marketing and provide personalized human-centered support and manage a variety of project work, administrative tasks, and personal assistance. Key responsibilities include but not limited to calendar management, travel arrangements, expense reporting, presentation preparation, project management of key initiatives as well as support daily time management. This individual is the consummate professional, a multi-tasker who exhibits a strong work ethic, thrives in a fast-paced, results-oriented environment and able to be proactive in anticipation of business needs and recommendations.

Highlights of your role
    Maintains Vice President's professional and personal appointment schedule by coordinating multiple calendars/ schedules, acting as a liaison between internal and external contacts in planning and scheduling meetings and travel. Resolves schedule conflicts and manages the intricacies of frequent adjustments of schedules.
  • Provides meeting planning and scheduling support to Vice President's direct reports, including meeting materials, technology needs/tech support, food/beverage catering, participant travel arrangements, and venue coordination.
  • Conserves VP of Marketing's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, graphics, and meeting minutes.
  • Offers counsel and supports key organizational / marketing initiatives.
  • Assist with project schedules and ensure action items are followed up and completed on time.
  • Proactively anticipates business needs and makes arrangements to ensure effective time management of work and family
  • Prepares meeting agendas, presentation decks, and meeting follow-ups, as needed
  • Collects data, prepares and analyzes marketing reports
  • Review and processes expenses and PTO requests of the marketing leadership team efficiently and effectively

  • Demonstrated ability to multi-task and maintain accuracy when completing multiple assignments
  • Self-starter and effective at working independently and in group settings
  • Proactively provides recommendations for more efficient and innovative ways to accomplish tasks, hence improving current operations
  • Exceptional attention to detail and organizational skills
  • Handles highly confidential information with sensitivity and discretion and protects business operations
  • Possesses a "can do" mindset and the flexibility to take on random projects and ad hoc tasks as necessary - must be comfortable with an ever-changing and evolving role based on the needs of the company
  • Exhibits a high degree of professional maturity, trust and integrity, and cultivates these qualities in others
  • Strong collaboration with fellow executive admins
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Also want to make sure you have
  • High school diploma (Bachelor's Degree preferred)
  • Minimum of 5 years of senior executive-level administrative support experience
  • Prior experience working in and/or supporting a marketing department is preferred
