About the Job

The Resident Program Coordinator for OMS/Pediatric Dentistry effectively coordinates all aspects of the two GME sponsored programs in the School of Dentistry. This individual works closely with directors, faculty, residents and affiliated training sites and staff on development, coordination, implementation and monitoring of the program's policies, processes, and protocols related to University policies, academic program requirements, clinical rotation planning, registration, budgeting, conference coordination, coordination of faculty, course materials, regulatory compliance, programmatic correspondence within the University, its affiliated institutions and clinics and the greater pediatric and oral and maxillofacial dentistry community.

This position also serves as a programmatic liaison in communicating with prospective pediatric dentistry residents and program alumni. Main point of contact for all internal, institutional, and national stakeholders for both the Oral and Maxillofacial and Pediatric Dentistry programs. Responsible for tracking and ensuring trainee compliance with administrative and curricular requirements for graduation. The coordinator is responsible for communications addressing or coordinating responses to all matters related to the Residents rotating on clinical services and related training sites, including communications for all division conferences, program lectures and trainee didactic sessions.

Schedule: After training, this position is eligible for a hybrid schedule

Salary Range: $20.48-$36.43 (depending on qualifications)

Job Duties/Responsibilities

75% Oral and Maxillofacial and Pediatric Dentistry Resident Coordinator

* Participates in the recruitment, evaluation, and selection of Resident candidates and documents process as required by accreditation standards; duties include: managing recruitment events and developing recruitment materials and presentations

* Liaison between the programs and all internal and external stakeholders.

* Implement and monitor both program's policies, processes, and protocols related to University policies and academic program requirements and other governing bodies.

* Understand and ensure the program's compliance with governing bodies: American Dental Association, American Academy of Pediatric Dentistry (AAPD) American Academy of Oral and Maxillofacial Surgery (AAOMS), University of Minnesota Medical School's Office of Graduate Medical Education (GME), and Metro Minnesota Council on Graduate Medical Education (MMCGME).

* Coordinate and manage the accreditation process for both resident programs and submit documents to support all school accreditation processes.

* Communicate with incoming residents regarding work authorization before the start of the program; partner with ISSS and coordinate any Visa or other work authorization processes with the resident to ensure a smooth and on-time start of the program.

* Responsible for effective management and development of programmatic management tools including the Residency Management Suite (RMS).

* Responsible for effectively managing Canvas site for the division's educational training programs (fellows, residents, and medical students).

* Assists the Program Director with managing the resident program (includes agenda setting, meeting management, and administrative duties concerning the program director's role).

* Serve as the programmatic contact for all residents in Oral and Maxillofacial (14-16 residents) and Pediatric Dentistry (10 residents) programs.

20% - Resident Rotation Coordinator

*Develop, oversee, implement, and manage the resident clinical and didactic rotation schedule.

* Coordinate preceptor and proctor coverage for resident program

*Work cooperatively with off-site program affiliated coordinators to ensure expected educational and clinical experience. Requires monitoring of various systems including but not limited to:

*AxiUm, Resident Management Suite/New Innovations (RMS/NI), Graduate Medical Education(GME),Metro Minnesota Council on Graduate Medical Education(MMCGME) Google Drive/Calendars, AmCom (Fairview Health Systems)and AMiOn.

5% Other duties as assigned

Qualifications

All required qualifications must be documented on application materials.

Required Qualifications:

*BA/BS OR a combination of education and relevant administrative experience, such as program planning, to total four years

*Experience working with physicians, dentists, nurses, or other health care providers in an academic or health care setting

*Computer experience includes Microsoft Office (Word, Excel, and PowerPoint), Google Apps (Gmail, Calendar, Drive, Docs, Sites), and Adobe Acrobat.

*Experience interacting with faculty or providers at multiple locations and working with clinical rotation schedules or related

*Ability to take initiative on multiple tasks, work independently, and take direction from supervisor and faculty leaders

*Interpersonal skills, including the ability to communicate in an effective, professional manner (both written and verbal)

*Successful experience working with diverse patients or clients

*Ability to anticipate and meet multiple deadlines

*Ability to work with changing priorities and directives

*Ability to prioritize tasks and communicate priorities and needs with faculty and others.

Preferred Qualifications:

*University of Minnesota experience to include Electronic Financial System (EFS)

*Experience with resident/fellow/medical student tracking and scheduling system

*Familiarity with application/evaluation systems, such as Electronic Residency Application

*System (ERAS) and New Innovations Residency Management Suite (RMS)

*Ability to work occasional non-standard work hours to coordinate programmatic activities

About the Department

The University of Minnesota School of Dentistry is the state's only dental school and the only dental school in the northern tier of states between Wisconsin and the Pacific Northwest. We are a regional resource to five states for dental education, consulting services, patient treatment, and ongoing continuing dental education.

We educate dentists, dental specialists, dental therapists, dental hygienists, dental educators and research-scientists. We offer advanced degree programs in seven ADA-recognized specialties: endodontics, oral and maxillofacial surgery, orthodontics, pediatric dentistry, periodontics, prosthodontics and TMD and orofacial pain. We educate scholars in oral biology, dental hygiene and oral health for older adults. Dentists from other countries who wish to practice in the United States matriculate through our Program for Advanced Standing Students. Learners have the option to pursue a Masters in Public Health or a PhD alongside their DDS degree.

We are the only dental hygiene program in the state associated with a dental school. Offering programs at the baccalaureate and master of science level, our integrated program prepares oral health professionals to collaborate from their first day in the profession.


We became the first dental school in the nation to educate dental therapists in 2009. Dental therapists perform basic preventative services, drill and restore teeth for children and adults and remove primary teeth under the supervision of a licensed dentist. As of 2023, we have graduated 91 dental therapists from the program.

Our work affects virtually every person in Minnesota. We educate approximately 73% of the state's practicing dentists, 68% of licensed dental therapists, and 49% of dental hygiene educators. Our researchers develop and test restorative materials used by dentists around the world. We provide critical oral health care with more than 100,000 patient visits in our campus clinics and more than 16,000 patient visits at outreach sites in underserved communities throughout the state. We provide continuing dental education for 7,1000 practicing dental professionals each year.
