We have an exciting new opportunity to join our growing Payroll and Benefits teams in the Human Resources department as a Payroll and Benefits Coordinator.  The primary duty of this position is to assist with the day-to-day operations of Payroll, HRIS data entry, Benefits and leave management operations.  Other responsibilities will include such tasks as: report generation (both planned and responding to ad-hoc requests); providing timely and courteous client support services regarding Payroll, Benefits, and Leave Management; ensuring the integrity of data within our human capital management (HCM) system, and other similar duties as assigned.  This position reports to the Manager of Payroll, HRIS, and Profit Sharing and will work with the Benefits team.

Key Responsibilities Include:

Payroll and Human Capital Management (HCM) Related Duties:

  • Responsible for UltiPro Time Management (UTM), including reviewing time card hours and approving each week.Create payroll import of UTM hours. Work with departments on approving timesheets and fielding questions. For any discrepancies, work with the Payroll Manager on timesheet issues, including delinquent time sheets and other time management related personnel issues.
  • Complete data entry for new hires, promotions, transfers, terminations, and data changes, with a strong focus on ensuring data integrity within our HCM.
  • Review and adjust the payroll prior to passing onto Payroll Manager for final review. Develop ability to fully run payroll as a back-up for Payroll Manager, including computing wages, deductions and benefits; ability to issue and distribute paychecks and bonus payments; and ensure the firm remains in compliance with policies, tax, regulation and deduction laws.
  • Distribute PTO balances to all Managers, updating hours as needed and perform processing.
  • Update the 401k and 401k Loan changes weekly.
  • Prepare payroll reports for management or for auditing purposes.
  • Perform data auditing and data clean-up activities as required.
  • Answer employee questions pertaining to payroll and the time management system.
  • Ensure data integrity within HCM and participate in any data review/data clean-up activities required to ensure accuracy.
  • Reset UltiPro passwords for employees when needed.
  • Assist with fiscal year-end processing.

    Benefit and Leave Management Related Duties:

  • Assist employees with enrollment, terminations and changes in benefits programs, including maintaining accurate records related to beneficiaries, disability and all other components to our benefit plans.
  • Responsible for processing benefit claims, coordinating the transfer of data to external contacts for services, premiums and plan administration.
  • Conduct presentations and meetings to explain benefits to employees. Design and distribute materials for benefit orientations, open enrollment and summary plan descriptions as needed.
  • Assist with Leave Management administration, including tracking, paperwork, processing and reporting, including all leave types and ADA accommodation requests.
  • Ensure employee benefits records are kept up to date, are compliant with government regulations (e.g., HIPAA, FMLA, ADA, COBRA, etc.) and are maintained to the highest accuracy standards.
  • Produce reports and conduct auditing to ensure the firm's benefits policies comply with laws and regulations.
  • Inform employees of any changes and answer questions and concerns raised by employees about their benefits.
  • Document and maintain administrative procedures for assigned benefit processes.
  • Assist in the administration of worker’s compensation insurance program.
  • Allocate group health and dental claim experience monthly and review quarterly

Qualifications

  • The ideal candidate will have 2+ years of experience in Payroll, and experience in Benefits.
  • We will consider entry-level candidates eager to grow in this space with Bachelor’s degrees and references from work experiences requiring attention to detail, ability to multitask, professionalism, trust and responsibility, and working within systems and technologies.

We are seeking two Practice Managers to join our legal operations team. Reporting to the Director of Attorney Development & Practice Management, each Practice Manager will be responsible for the daily execution of business needs and the operations of the assigned division and departments. The Practice Manager will support either our Business Division or our Litigation Division depending on the candidate’s prior experience and background and the needs of our various departments. 

Key Responsibilities Include: 
Business, Administrative and Operational Support
Facilitate division and department efforts to ensure operational effectiveness, profit maximization and innovation in service delivery, matter management and pricing.
Assist in the annual development of division and department financial models and support division and department chairs in the monitoring of division and department financial performance against budget.
Collaborate with assigned finance and pricing professionals to facilitate each department’s profitable growth in revenue; engage in value proposition and pricing strategy development with pricing colleagues.
Collaborate with assigned marketing professionals to expand each department’s client base, including through budgeting, data gathering, pitches, and RFPs. 

Strategic Planning
Facilitate the strategic planning process for the division and departments as directed by the division and department chairs.
Monitor plan execution and regularly report on progress against plan to the division and department chairs. 
Work with assigned marketing and business development professionals on the marketing and business development component of department business plans to ensure that initiatives align with each department’s strategy.
Manage division and department level projects, as assigned, to help support the division and department plans.

Efficiency, Legal Project Management, Knowledge Management and Technology
Lead efforts to identify client and practice needs, pain points and challenges that could be addressed with legal project management, process improvement, knowledge management tools and/or technology.
Support the firm’s data strategy, including tracking matter profile data, monitoring usage of practice content and resources, and capturing experience data.
Understand the firm’s available resources and technology and develop better workflows and processes to drive teams and tasks to the “right” resources (whether people, process, or technology).
Monitor developments in legal technology applicable to the assigned division and departments; assist with evaluation and selection of new technologies and practice workflows, working closely with our IT and Research & Knowledge Management teams throughout the process; assist with the implementation, training, roll-out and adoption phases of new practice technologies.
